Personal vs Organisation Questions and Templates

Understand the two visibility levels for questions and templates, how to share them with your organisation, and what each role can see.

Every question and interview template in Intervy carries one of two visibility levels: Personal or Org. The level controls who can see the item and whether it is available for shared use in interviews and pipelines.

The two visibility levels#

A question or template starts as Personal the moment you create or save it. Only you see it in the list; no other team member — including Admin — can view or use it until it is promoted to Org.

Choosing visibility when creating#

You do not choose visibility at creation time — every new question and template starts as Personal automatically. To make it available to the rest of the organisation you publish it, which starts the approval process.

Promoting a personal item to the organisation#

Promoting means publishing: the item leaves your personal collection and becomes available to the whole organisation. Publishing goes through the approval workflow, which requires a second reviewer before the item goes live.

Publish a question#

  1. Open Questions in the sidebar.
  2. Find the question with the Personal badge.
  3. Select the Publish to org bank button (the globe icon) on the question row.
  4. If you hold questions:approve, the question moves to Org immediately and you see the confirmation "Question published to org bank".
  5. If you do not hold questions:approve, the question shows a Pending approval badge. A team member with questions:approve must review and approve it before it becomes visible to the organisation.

Publish a template#

  1. Open Templates in the sidebar.
  2. Find the template with the Personal badge.
  3. Select Publish from the template card.
  4. If you hold templates:approve, the template moves to Org immediately and you see "Template published to org bank".
  5. If you do not hold templates:approve, the template shows a Pending approval badge until a reviewer approves it.

Cloning an org item to personal#

You can pull a copy of any Org question or template into your personal collection without affecting the shared original. This is useful when you want to customise a question for a specific interview without changing the organisation-wide version.

  • Cloning a question: select the Clone to personal button (the copy icon) on the question row. The clone appears in your list with a Personal badge. Cloning requires only questions:view.
  • Cloning a template: select Clone from the template card. The clone appears in your list with a Personal badge and the name "(Copy)". Cloning requires only templates:view.

Personal questions do not appear in other users' question lists. They also cannot be added to shared templates, assigned to pipeline phases, or searched by teammates.

Why this matters for Interviewers#

Interviewer holds questions:view and templates:view, which lets them see all Org questions and templates. They cannot see Personal items that belong to other team members.

Interviewers also do not hold questions:publish or templates:publish, so they cannot promote their own personal items to the organisation. If an Interviewer creates a question during a live interview using the ad-hoc question feature, that question is personal to them until a Staffing or Admin team member publishes it on their behalf.
